Nils_hi, opsis!14:03
mihalis68hi14:04
spotz_Hey!14:06
spotz_Do we want to start a log oor just chat?14:07
mihalis68I saw the email just now about meeting. Sorry for the lack of response, but honestly I am not thinking about June right now. We are just trying to work out plans for this week. My extended family has covid (not here in this house) and we need to cancel plans to see those family members and get our daughter safely back to college14:07
mihalis68as far as I know going to berlin in june is still on, but it's almost hard to believe with covid omicron rampaging here in NYC right now14:07
mihalis68if there are questions about how ops meetups work, I am happy to answer, but I'm not sure about doing a formal meeting with meeting minutes via chatbot right now14:08
spotz_No prooblem and sorry too hear abouot your family. And apologies for typos my keybooard has issues and trying to be respoonsive timewise14:09
Nils_first of all, send a "get well soon" to your family!14:09
mihalis68thanks. NO worries about typos, I do a lot of them on perfectly operational keyboards14:09
spotz_As oof yesterday the Foundation is planning on in person in Berlin. Shoould Berlin get cancelled we will meet somewhere else some time later14:10
spotz_So my one recommendation in our pllanning is too get prices but try not too pay oout anything if possible14:10
mihalis68an unvaccinated friend just got covid this morning (yes, an idiot, trust me) and I'm swapping emails with him amongst all this14:11
mihalis68sorry to share more personal stuff than normal, but in past conference run-up periods I could believe they would happen fairly likely14:11
Nils_I agree, hard planning stuff is not really due right now. What needs to be done here locally, can be done by us. But I need to lern a bit more about the conventions and traditions of the ops meeting, even if I attended (partially) the one we had in Berlin (in 2018?)14:11
spotz_I only attended the oone held with the PTG so I'll leave that answer to mihalis6814:12
mihalis68I believe the foundation suggested a one-day event immediately after the openinfra summit. ops meetups are quite flexible and we can arrange around a 1-day (although we normally did 2 in the before-times)14:12
mihalis68the way we organise is to kick off a list of topics to be crowd-sourced, although really myself and the ops meetups team would put a lot on there, the community would add just a few more, and then the community would +1 the popular ones14:13
mihalis68for example upgrades, tooling, long term support, distro issues, scaling challenges14:13
Nils_how would you describe the main idea behind the meetup?14:13
spotz_That recommendatioon was actually me based ooff of Open Soource Summit and Kubecon and tthe fact travel has been so limited I figured it might be easier for folks too stay a day vs travel a secoond time somewhere right now14:13
mihalis68we pull together operators of openstack for a discussion of the issues of running it for serious purposes (for production commercial uses, science etc). It's free and open e.g. you can mention a vendor issue14:14
mihalis68yes I think it's a good idea, just mentioning that it's a bit different14:14
Nils_Is it a round table format (like in AA: "Hi, my name is Nils, and this is how we run our cloud: ...")?14:14
mihalis68the expected attendees are those who either run it, want to run it, or vendors who need the info as long as they are wearing their community hat14:14
mihalis68in other words no commercial pitches14:14
mihalis68we have a rough agenda and then work on each topic14:15
mihalis68for example we might do upgrades, then tooling then long term support14:15
Nils_+1 for having no pitches14:15
mihalis68each session has an etherpad and we ask people to put discussion points on beforehand, then the session is a working session on those points plus new ones that people add during14:15
spotz_If we do end up needing a second day and it's noot an issue with the room Frank and Nils have reserved we can change to 2 days14:16
mihalis68most are simply discussion, info sharing. A couple of fun ones we tend to put at the end of the day are lightning talkd and war stories14:16
Nils_does this etherpad process really work? Do people write in there something ahead of the meeting?14:16
spotz_The OpoenStack community as a whole is pretty good about it14:16
mihalis68oh yes we have years of evidence that it works in a cheap rough and ready way14:16
spotz_OOur prooblem has always been moore getting the word out and we have better luck with Twitter then the OpenStack mailing lists14:17
mihalis68see etherpads linked here https://wiki.openstack.org/wiki/Operations/Meetups14:17
Nils_okay, so we don't need a full fledged CfP process?14:17
mihalis68no, it's very very stripped down14:18
mihalis68here is the organising etherpad from the London we hosted at bloomberg https://etherpad.opendev.org/p/LON-2020-OPS-TOPICS14:18
Nils_Okay, in terms of the room, I am pretty sure that we can take care of that. I'll talk with Frank to reserve the same room for another day. There we have all we need, I think: room, good view over Berlin, tables, chairs, (it's a meeting room), a coffee kitchen nearby, power (EU-style) and Internet (Wifi)14:20
mihalis68yes that's a great summary - internet and coffee power most of it :)14:21
Nils_In the neighborhood there's plenty of cafes, restaurants, and such infra.14:21
spotz_How gfar in advance do you need attendees. I'm assuming everyoone must be vaccinated14:21
mihalis68if possible getting a lunch catered help because getting all the way out of a corporate office, obtaining lunch in an unfamiliar place, then getting back in is a big hole in the day14:22
mihalis68we have often had lunch sponsored by one of the openstack vendors or latterly bloomberg has paid a few times (and when hosting laid on both breakfast and lunch)14:22
mihalis68but I'll emphasize it's not mandatory nor expected of the host, it's just operationally efficient if we can just give people food14:22
Nils_We can book conference snacks for hillarious prices, or organize this as the community. Maybe I can get Deutsche Telekom sponsor this, but this is not my department and these processes tend to be daunting in large companies ...14:23
mihalis68I can probably expense lunch, have done so before14:23
mihalis68for the attendees14:23
mihalis68just pay a caterer via my corporate amex14:23
mihalis68of course it needs to be planned14:23
spotz_I've goot some budget so I can help as well, not sr=ure what I've goot for this year yet thoough14:24
mihalis68but lead times for lunch for a few tens of people are in weeks, not 6 months14:24
mihalis68I think the backbone of the event is as you say a room, network, chairs, tables, maybe a presentation system, wifi14:24
mihalis68that can ensure it happens14:24
mihalis68then we can work food14:24
spotz_Nils_ just incase we get a good response do yoou know how many peoplle the room can hoold?14:24
Nils_Another option is prebooking a large set of pizzas from a a restaurant across the street. We did this before with a hackathon in 2018.14:25
Nils_let me check how many pax the room takes ...14:25
mihalis68as much as I like pizza (hey, I live in Brooklyn) we can do rather better I think14:26
mihalis68at least in terms of having some diversity14:26
spotz_Yeah with a n address we can do goggling:) I always thought it was funny the first time I had Thai foor was in Neutrablling(sp?)14:27
mihalis68there is a tiny bit of process around "approving" the offer to host. We have a page which needs to be filled out. It will be a formality in this case I think, but we should probably still do it14:28
mihalis68I'll dig out the page and forward it to the email chain 14:28
mihalis68there were some events where it got more complicated, for example when we did it mexico city the venue was free with some strings attached. one of the community ran free community training to make the event qualify14:29
mihalis68I doubt there's any challenges with this proposal, but that's why there's a bit of process14:29
Nils_hold on a second, it's a room booking system from hell14:31
spotz_hehe14:32
Nils_"48 - 100 pax, depending on the seat layout", if that's the right room.14:33
Nils_to confirm that I have to find Frank's booking. In general I'd say: enough14:33
spotz_That sounds perfect too ome14:34
mihalis68I think we like being under 10014:34
mihalis68there was one in philadelphia which reached maybe 150 and it's no longer orderly. The room split into two or three discussions14:34
Nils_I guess we can consider ourselves happy if more than 30 will turn up14:34
Nils_at least that was roughly the  number I remember from 2018 in Berlin14:35
spotz_COVID will restrict attendance I'm sure whether comfort level or company directive14:36
mihalis68yes  I guess we may have to be sparsely arranged or something14:36
Nils_okay, I found Franks booking which was for 20 pax, but in a slightly nicer setting. But don't worry about that, there are so many rooms there. I can make an appointment with the facility manager and visit them. Re-booking is also pretty easy. Currently virtually everything is completely empty14:39
spotz_Thanks14:40
Nils_As for vaxinations: Rules change every other day, but I predict it's necessary to provide some "full vaxination" by then and provide some proof for that. But without that you can't effectively go to Berlin anyway.14:41
mihalis68I think frank got us a former boardroom in a building that was due to be retired. There's no need to get fancy like that, but it was very very nice14:41
mihalis68Oh I've got everything they recommend, 3 covid, one flu14:41
mihalis68wont be a problem for the type of people with the intestinal fortitude to run openstack at scale14:42
mihalis68"yes just shove that in my arm, I've got a capacity crunch to fix"14:42
Nils_mask will be probably required, definetifly walking in the office aisles, not sure if seated at the table14:42
spotz_I still have to schedule my booster, they do it in the pharmacy at the grocery store14:42
spotz_I think people would be ook with masks except when eating and drinking14:43
Nils_my favorite comment on vaxination: If you're not sure whether vaxination changes your genes, you should probably go for it.14:44
mihalis68Is it ok to say that your company is looking to host in berlin? Is that "Deutsche Telekom" in that case?14:46
Nils_Okay, to summarize: I think the venue business needs constant moniitoring during the next few months, but I can take care of most of it (together with Frank).14:46
mihalis68if I were to get the word out via the official openstack ops meetups twitter account14:46
mihalis68I wouldn't wnat to get it wrong, or premature14:47
spotz_Nils_ if youo can send us the address we can also scope out restaurants and things nearby14:47
Nils_Yeah, let's put it this way: "Deutsche Telekom is hosting the Open Infra Ops Meetup".14:47
mihalis68yep, got it14:47
spotz_:)14:48
mihalis68although we still say "OpenStack Ops meetup" since it's very much still about that bit of the portfolio. We don't see people wanting to talk about Zuul at scale or Kata containers 14:48
Nils_Deutsche Telekom is the Gold member in the foundation. I work for T-Systems, a fully owned subsidiary of Deutsche Telekom. Inside T-Systems we run Open Telekom Cloud as per order/contract of Deutsche Telekom. Open Telekom Cloud is based on OpenStack. That's more or less the full story.14:49
spotz_And if we were too expand we would need their assistance for sure14:49
mihalis68ok I'll tweet a heads-up about this and then we should pick up the habit of more formal IRC meetings here as things are confirmed. I can handle all that14:51
Nils_A link to the street address: https://goo.gl/maps/jDL9PXgKqGYmskqH614:51
mihalis68using meetbot to record meetings with actual actions and then sharing to the mailing list for proper open communication and a paper trail14:51
Nils_The street  address is "Deutsche Telekom, Winterfeldtstraße 21, 10781 Berlin"14:52
Nils_recommended pizza spot: Boccacelli, https://goo.gl/maps/z3NHZsU8HdZqPv7h614:54
Nils_How do we feel about registration? The foundation used to love Eventbrite14:55
spotz_If not Eventbrite I've been using a free Open Source based on for RDO socials at the PTG14:55
mihalis68It's a pretty good idea to require registration. For bloomberg hosted ones we had to use th bloomberg one, otherwise eventbrite is good14:55
mihalis68one social engineering hack is to require a very very small registration fee14:56
mihalis68this keeps out the free lunch moochers14:56
spotz_https://eventyay.com/14:56
Nils_Should we re-delegate this to the foundation or set up something ourselves? I think it's a good idea to have one central spot to collect access data, steet address, how to get there, closest underground station (with is overground here for technical reasons), etc.14:56
mihalis68$20 or 20 euro14:56
mihalis68good question for spotz_    :)14:57
mihalis68charge 20 euro, but make sure everyone gets > 20 euro value in free food and perhaps some swag14:57
mihalis68but the moochers don't necessarily understand (moocher => freeloader)14:57
spotz_I can reach out to the Foundation and discuss, I've been using eventyay for free events soo I didn't have any charges14:57
mihalis68it's not essential14:58
mihalis68but one event in silicon valley had freeloaders or tech tourists14:58
Nils_I just registered to eventyay half an hour ago for FOSS ASIA14:58
spotz_I do like the idea of charging a bit, then swag and help towards things14:58
mihalis68not really interested in collaborating just turn up, get food, swag, use the wifi14:58
mihalis68I think that's TBD. I have to go to another meeting now. Feel free to email at cmorgan2@bloomberg.net for a better chance of me seeing it soon. My gmail is absolutely flooded14:59
spotz_I'll talk too the foundatioon and alsoo look at pay options foor eventyay. We'd probably have to have somewhere for the mooney too go and then pay a fee oouot of it14:59
mihalis68I think the foundation put the money into the lunch14:59
Nils_ok, then see you next week? Same place, same time?14:59
mihalis68sure, works for me14:59
mihalis68I will run it formally next week as mentioned above15:00
spotz_Thanks mihalis68!15:00
mihalis68you're welcome, ta ta for now15:01
Nils_:)15:01
spotz_Thanks Nils_ for loogging in and for everything!15:02
