spotz__Hey all, who's here for OPS Meetup?13:02
NilsMagnus[m]good that you mention it :)13:02
spotz__Hey NilsMagnus[m] I emailed and tweeted yesterday to remind folks13:03
spotz__Let me get the log started13:04
spotz__#startmeeting ops-meetup-team13:04

spotz__Lookslike we're up to 1213:06
spotz__I think the first tan was knikolla but not sure if he was the second tan. thejulia might have proposed the Gitops one13:08
spotz__The others were carryovers fromt he other etherpad with better names or were added during the session13:08
spotz__We have War Stories ther, Erik talked about putting that in the Forum but not sure if he put it in when it got reopened. I know it wasn't on the original list13:09
NilsMagnus[m]Well, nice. When is this "in one week"? Who's supposed to vote? DO we need to spread the word?13:09
spotz__Later in the session Erik said we should leave it open longer, then like 3 weeks out we'll have folks add +1 to the topics they want13:10
spotz__I was doing things more like a CFP then how we do it for meetups13:10
spotz__We should probably email and tweet a few more times before putting a closing date for adding new topics and opening for voting13:12
spotz__Though for a 1 day event we have a nice amount13:12
NilsMagnus[m]Well, we could vote for 66% of our time/space slots and let the remaining 1/3 decide later. It's best of both worlds: Delegates can decide whether to come or not and we keep flexible13:12
*** spotz__ is now known as spotz13:12
mihalis68I don't see any +1s at all, which makes me think the community hasn't really engaged with the topics, just individuals proposing topics they want to talk about13:13
spotzYeah we haven't mentioned selecting your favorites o anything just add topics13:14
mihalis68I think this needs more time and more promotion. I should be coming back up to speed soon. Two weeks ago I had covid and last week was needing a big nap every day just to get through the day, but I hope to start contributing going forward13:14
mihalis68I think we need more proposed topics and then an indication of popularity via +113:14
spotzYeah that's kind of where we're at. My mental timeline was shorter then we normally use13:15
mihalis68otherwise we risk single-issue people proposing things and then talking about them. We've had a couple of problems like that - people not understanding how this works and thinking if they get a topic on the slate, then they get to talk to the room13:15
spotzI know the TC would really like folks to talk about their issues so we can look into what can be done to resolve them13:16
NilsMagnus[m]Understood. Problem I see is that folks usually book their flight right now. If they leave on Summit-Thursday, they're just gone.13:17
mihalis68the main pain point boils down to upgrades. We often get into that via surveying what versions of openstack those present are running13:17
NilsMagnus[m]s/right/rights/13:17
spotzNilsMagnus[m]: That's why I tweeted out and have sent the registration to Allison and Erin so we can get it public ASAP13:18
spotzIf htey know this is happening they'll stay even without a schedule13:18
mihalis68there's no eventbrite (or similar) event set up yet I presume?13:19
spotzHopefully this week13:19
NilsMagnus[m]okay, but would you go to an event/meetup without knowing what's going to be discussed there? I'd rather not ... ?!13:19
spotz#topic Registration13:19
spotzFor a 1 day add on yeah. You're already there. TO travel to something just for it maybe not13:20
NilsMagnus[m]Okay, then let's keep the topics open. Can we at least agree on a specific date (absolute, not relative)?13:20
mihalis68it's a fair point for some general thing you'd want to know, but this is already themed as a meetup of openstack operators. I think those who have been to any of them previously know what kinds of things are discussed13:21
mihalis68a specific date for ?13:21
spotzMay 1, May 15 for voting? Does that work for folks?13:21
mihalis68are you suggesting locking down the agenda? We haven't needed to lock it down for ... well years13:22
mihalis68you get a bunch of stuff up there, get +1s, see what's popular, go with that13:22
spotzIt's kind of a more organized unconference13:23
NilsMagnus[m]yes, anything specific works for me. My folks keep always nagging: Is it still open (so I don't need to act now), when is the deadline. That's why I am in favor of early CfP deadlines and then have gentle extensions. But yes, May 1 or 15 works for me13:23
NilsMagnus[m]It's not about locking. We're all flexible and agile, aren't we?13:23
mihalis68so just a date for topic submissions, and then a date for +1ing them? So that we have a draft agenda that people can look at? That's reasonable13:24
NilsMagnus[m]+113:25
mihalis68is mid-may too late? How about may 1, then one week for feedback? (+1 or -1)13:25
spotzI think the dates are important for us mainly to make sure we're sending out communications. SO we leave it open but push for those dates to start +1ing, and stop pushing +1 so we can in the background have 2 weeks for a possible lineup13:25
spotzI'm good with whatever dates we want. May 1 is like 2 more weeks though13:26
mihalis68We could ask for topics in a weeks time and feedback two weeks time from now13:26
spotzOk sounds good13:27
mihalis68Nils what do you think?13:27
spotz#info Topics totally open until 4/26, voting until 5/1013:28
mihalis68that's two weeks for feedback. I was saying one week. Topics 7 days from now. feedback 14 days from now13:28
spotz#remove Topics totally open until 4/26, voting until 5/1013:29
mihalis68not insisting, just trying to be clear. If you want to get the agenda drafted sooner, my suggestion is a week and then another week13:29
mihalis68as nils says, people wait until just before deadlines to do ANYTHING13:29
mihalis68it will be good if we can have the event link and a deadline for topics and a deadline for voting communicated this week13:30
spotzI thought I had emailed last week, resent it on Friday. I'm sure we'll have it this week13:31
spotzOne question I do have is the registration fee, Where should it go? I know we'll need to get money to Frank for the shirts. Do we have an account? DO we have it all sent to 1 person who pays out whoever needs it?13:32
mihalis68the ops meetups team never handles money. Thus in the past the foundation did the eventbrite and swag items and the former subsidised the latter13:33
spotzWhatever we have left we can buy a round of drinks at dinner, etc. If we know we have money we can also order stickers13:33
spotzOk cool13:33
mihalis68I mean maybe when Tom F did it he could deal with money, but he was a full-time foundation staffer at the time13:33
mihalis68I certainly can't touch money for this, except perhaps picking up the breakfast (haven't got that cleared yet)13:34
spotzSo when we get closer we'll just have the shirt order info and hand it to them and Frank can pick them up13:34
spotzIf you can't I was thinking we could use any extra funds to pick something up from a backery13:35
spotzbakery even13:35
mihalis68I probably can, it's just we are currently working on a larger item which I'll email you about, can't say here right now13:35
spotzOk13:35
mihalis68I'll try to get clearance to pay for breakfast by next week13:36
mihalis68covid has messed so many things up - don't have a working amex corp card right now13:36
spotzI just made sure on ticket prices we pay for anything we didn't plan for or that came up last minute. If no foundation folks are on site I'll pay and get reimbursed not worried about that13:37
NilsMagnus[m]voting deadline: April 27, +1 encouragement: May 4, 2022? Fine with me.13:37
mihalis68seems good to me13:37
mihalis68emailed you amy13:37
spotz#undo13:37
spotzGot it:)13:38
spotz#info Correct dates - voting deadline: April 27 encouragement: May 4, 202213:39
mihalis68I know I haven't done anything for this event yet, so how about I get the word out about these upcoming deadlines and also try and put in a few more proposed topics?13:39
spotzSounds good, I've just been trying to fill in the gaps13:39
mihalis68understood. I wish erik were here. We kind of energise each other13:40
spotzNilsMagnus[m]: Have you talked to the restaurant accross the street? I emailed them to see if they have a catering menu but never got a response13:40
NilsMagnus[m]A question about the tickets: What do you think about a ticket for students/etc. who don't have a corporate sponsor for 0$, but we don't advertize this?13:40
mihalis68ok, i'll do some tweets from the official account to get the deadlines out there13:40
spotzI'm good for it13:40
NilsMagnus[m]@spotz: Their menu is online:13:41
spotzDiversity tickets:)13:41
mihalis68the ticket price is normally minimal - like $20 - the purpose being a bozo filter, not really any revenue13:41
mihalis68I think a student that is interested could afford that, no?13:41
mihalis68or are you referring to travel?13:41
spotzNilsMagnus[m]: Ok I was hoping they had a catering menu in addition to that13:42
NilsMagnus[m]https://www.boccacelli.de/speisekarte/speisekarte.html13:42
spotzI don't think we can do TSP ourselves. I put the registration at 25 eu FYI13:42
NilsMagnus[m](It's in German but basically they have what every Italian eatery globally offers)13:43
spotzYep that's the one I used to make our menu. My hope is to go by on Saturday and talk to them. I used google translate on it:)13:44
spotzA couple salads, pizzas, pastas, and tirimisu to share13:47
NilsMagnus[m]Well the Berlin standard for Meetups is that you count the number of participants, divide by 3 or 4 (depending on the pizza size) and then order this number of assorted pizzas (one type each if they're not willing decide themselves). Let them know that you want 40% vegan, and 60% regular. And that's it. If you're really into it, order a few large mixed salats on top, but my experience is that they're despised.13:48
mihalis68No disrespect to pizza, but we managed to do a lot better than this in the past.13:48
mihalis68we had a fully catered lunch in both nyc and london meetups that I helped run13:49
NilsMagnus[m]The boccacelli pizzas are big, really big! 40cm/16in13:49
mihalis68sandwiches, pasta, salads13:49
mihalis68anyway, I think we have the main priorities agreed this week, would you agree? Finish off seeing the etherpad with topics, ask the community finish adding suggestions by april 27, and providing +1s to favored topics by May 4, and meanwhile see if I can get approval to get breakfast13:50
spotzYep13:50
NilsMagnus[m]'kay13:50
mihalis68I've got to get ready for an important meeting in (... 9 minutes eep!) so can we finish here?13:51
spotzYep go have fun:)13:51
NilsMagnus[m]Take your time,  grab a coffee, I'm fine!13:51
mihalis68riiiiight13:51
mihalis68ok thanks for keeping this thing alive. I'll try and wake erik up and get moving!13:52
spotzAnd there's not one normal pizza on this menu:)13:52
spotzMeet next week or in 2?13:52
mihalis68aim for next week13:52
mihalis68since it's a deadline now13:52
NilsMagnus[m]ack13:52
spotzOk13:52
spotzWe'll need to email that out too:)13:53
